German Speaking Customer Administration Assistant

Up to £17,500 per annum + profit share + benefits

We’re looking for a German speaking Customer Administration Assistant to join us on the Holiday Extras campus and become part of our expert team. The Contact Centre is made up of teams that manage inbound calls, emails and live chat. Our Travel Consultants sell a range of products, including: airport parking, hotels, lounge passes, insurance, rail travel and a number of essential extras. The role will see you assisting with the day to day administration of the German Contact Centre. Holiday Extras Germany is helping our customers on the continent “Travel better” delivering a variety of holiday add-ons in over seven countries across Europe. The workload is fast-paced, but the atmosphere is fun.

As someone who is excited by all things financial you will assist the Supplier Payments Team with a wide range of tasks, including:

  • Receiving support calls from Suppliers, Travel Agents, Customer’s and the Contact Centre.
  • Processing and dispatching of tickets and marketing material to customers and Travel Agents.
  • Making customer bookings on behalf of Tour Operators.
  • Monitoring bookings where customers/Travel Agents have not completed their car details, contacting customers/Travel Agents where necessary.
  • Run daily duplicate report and check identical bookings for Hotel/Car Parking. Call and email customers/Travel Agents where necessary.
  • Contacting customers/Travel Agents moving their bookings to suitable alternatives in the event of a supplier closure or on site issue.
  • Making personal bookings for Travel Agents going to industry events and discounted bookings for customers/Travel Agents arising from promotional campaigns or complaints.

As this role will see you working closely with the German team in Munich it is essential that you are able to communicate fluently in German (written and verbal).

As an inquisitive team player and keen learner you will get involved with a variety of tasks and projects. You’ll have a keen eye for detail and strong organisation skills with the ability to expertly manage your own time. As a self motivated individual you will be keen for the next challenge and be able to prioritise your own workload, taking on additional responsibilities to support the wider team. New Products Merchandiser

We’re looking for a Copywriter who can use their passion for writing to provide compelling written content for our website, email campaigns, marketing briefs, PR news hooks, blog articles, social posts and other relevant channels. You will use your skills to work closely with SEO on the setup and maintenance of a car hire blog, including regular and relevant article publishing and compiling a backlog of articles.

You will be passionate about customers, and responsible for conducting market research. You will create, oversee and analyse feedback surveys to better understand our customers further and report back to wider team, on an ad hoc basis.  

You’ll Work closely with the New Products Marketing Manager on an agreed messaging tone, style and product positioning for all New Products. As someone who is super organised you will be responsible for ensuring product positioning is relayed to various departments through regular contact / communication e.g Email, SEO, PPC, Social, PR. As someone who is interested in marketing you will be responsible for downloading appropriate assets from stock libraries and working with our design agency to deliver feedback.

You will be optimising social campaigns to ensure we’re showing the right ad, at the right time to the right customer. You are pioneering in all aspects of your work, are brilliantly analytical and understand what drives Holiday Extras and how Paid Social fits into it. You adopt a scientific approach to marketing, never letting personal preference get in the way of accurate data. You have a solid understanding of basic maths (like percentages & growth figures) and this is evident in your reporting, analysis, and delivery.

Marketing Executive

The role, team and opportunity…

We’re on the lookout for another creative, tech-savvy marketer to join our innovative marketing team. We’re looking for a great marketing-writer-designer extraordinaire to work with our partners ( including TUI, easyJet, Saga etc). Our ideal candidate is creative, business-oriented and passionate about the travel industry, as well as being super-organised with excellent writing, social media, design, project and ideally video skills.

Content is a huge part of the role. We’re looking for a confident, professional writer, a designer familiar with Photoshop, a social media marketer who is comfortable promoting our brand to business partners on Facebook and Twitter, and ideally someone who can plan, shoot and edit video.

  • Work with the marketing team to successfully develop and implement marketing, communication and product development plans to maximise volumes and opportunities across Holiday Extras’ retail partnerships.
  • Support the social media channels for the retail team.
  • Work creatively within brand guidelines to convey our brand’s tone of voice and personality
  • Ensure the timely production and distribution of various marketing materials through appropriate channels, including copy, design, video, social etc
  • Organise and participate in relevant exhibitions, fairs and other community, partner and travel agent events throughout the year.
  • Build and maintain relationships with both the online and retail Partnerships Development Managers. Ensure regular communication through the use of telephone, mail and meetings.

Scope/Context:

  • Reports to the Marketing Manager
  • Works closely with the sales/partnerships and communications teams, and liaises extensively with external design agency Oak Creative

Qualifications, experience & skills:

  • An excellent writer with flawless spelling and grammar skills. Editing and proofreading experience would be a bonus.

  • Previous experience in marketing and/or BSc degree in Marketing/Tourism Management would be highly advantageous.

A day in the life of a Sales Specialist…

  • Your shift is due to start, but you come in a bit early for a cup of tea and a catch-up with your team. You read through all your new emails to make sure you have all you need to start the shift.
  • You log on and are ready to go. Your first call is from a lady looking to book a family trip to a UK theme park.
  • You love speaking to our customers and find it easy to build rapport. Your genuine, engaging personality shines through on every call and helps create a lasting impression that keeps our customers coming back time and time again.
  • As you finish a call, your Team Coach asks to see you – you have received a Mystery Shop with great results. Together you listen to the call and go through any areas of development that have been highlighted, to make sure next time is even better!
  • Your day is flying by and it’s time for lunch. You could use the brand new kitchen if you fancy a hot meal, but as your lunch today is just a sandwich you decide to eat at your desk and catch up with your friends on Facebook, or maybe do some online shopping. (Yes! this is allowed in your own time.)
  • After lunch you see that the daily stats have been updated and you are doing well. Your conversion is up and you have made real progress adding extras to the bookings. You’re not quite getting a bonus, but you still have most of the month to go and you can see where you need to pick up.
  • Later in the afternoon it’s time to have your coaching session, your coach has been listening into your calls today and together you discuss these. This is your chance to see what you do well and where your development areas lie. You work together to design a personal action plan for the month.
  • Back at your desk you have a busy half hour with non-stop calls. Each one is different and you easily switch between talking about our different products. You remain focussed and calm delivering an excellent customer experience to each call as if they were the first of the day.
  • You speak with a customer who is rather upset about something that hasn’t gone too well for them, but you thrive in challenging situations and will be able to confidently provide a solution. Because you are so good at what you do, the customer leaves feeling valued and more likely to return to us in the future.
  • The Shortbreaks facebook page throws up a notification. The latest photos of the most recent fun event have been posted by our people team. You and the team take a minute between calls to look at the photos and add comments, especially to the most embarrassing ones!
  • Just as you are about to log off at the end of the day, a call comes through at the last minute. Although you were looking forward to going, you take the call and give the customer 100%, as always. It takes you a minute to complete the after call work, and then you are free to go.
  • Your day is over and it’s time to go. You make sure you have handed over any callbacks for later to a colleague, log off, tidy your desk and head home.

Direct Insurance Lead

We’re looking for an experienced Direct Insurance Lead to join us on the Holiday Extras campus and become part of our expert team for a fixed term of 9-12 months. The workload is fast-paced, but the atmosphere is fun.

We want you to bring your brilliant management skills and advanced knowledge of direct marketing to engage and grow the direct insurance customer base. You will be a PPC whizz and have the ability to manage search, display and video campaigns ensuring our customers are presented with an easy option to book travel insurance. You will also play a key role in positioning Holiday Extras as a market leading insurance provider to our customers.

You will be part of our growing Insurance team and work collaboratively with several teams across the business to support the delivery of great products and a joined up customer approach. You will also be responsible for the management, mentoring and development of the Direct Insurance Assistant playing a key role in building their skill and knowledge. You will also be responsible for the yearly and 5 yearly forecasts for the business and be accountable for the performance of all direct trading groups across multiple brands.

You’ll have a strong level of technical understanding in the areas of PPC and direct marketing, being able to expertly use Google Analytics, Google Adwords, SEO Webmaster and PPC campaign building tools. You will use your keen eye for data to collect, analyse and report on traffic and conversion. You will also engage with third parties to test out the delivery of new Travel Insurance traffic, using your commercial skill to make sure we get the best deal. You will liaise with the Insurance Pod to ensure landing pages and booking flows support the customer proposition. As well as this you will also be responsible for the development, testing and optimisation of the Insurance SEO and Email content. You can be guaranteed, however, that no two days will be the same.

UI Design Intern

Holiday Extras is a fast moving technology business where our purpose is to make travel better.  We make it easy for customers to make the most of their trip.  With over 4 million bookings a year we are one of the UK’s most innovative travel companies and continue to grow fast and expand our offering.  

We’re the UK market leader in travel ancillaries; once you have booked a flight and accommodation, we take care of the rest.  That includes airport hotels, insurance, airport parking, lounges, foreign currency, car hire, resort transfers and attractions.  Almost all of our business is conducted online, either direct through our own website and apps or through our network of partners that include the major travel retailers, airlines and tour operators.

Our team is based near the beach in Hythe, Kent, less than an hour from London and we also have engineers in Sofia (Bulgaria).  In total we have more than 130 people working on our product development including engineers, product managers, testers, and designers.  The team form into pods, each pod having a mission and part of the customer journey that they focus on, with clear KPIs that they work on improving.  

How you can make a difference

We know that the very best designers all started out somewhere and learned their craft by doing. The classroom gets you so far; real life experience will hone your technical, design and people skills. This may well be your first commercial role where you are proving your potential and putting your talent to work.  

You love translating concepts into a visual reality, designing to make it easy for customers to use our websites and apps. You’ll partner with our product leads and engineers, working across a variety of projects to create mock-ups of interactions, testing a wide variety of options to find the highest performing design. It could be at any point of our customer journey and on one of our many applications, products or brands.

With our product leads you will developing plans to improve the customer experience and create a “wow” effect. You’ll need to understand our customers; their needs, wants, behaviours and attitudes. You will need to understand relevant data to inform design direction as well as anticipating how and why our customers think and act.

Your aim will be to deliver quickly, working in short cycles to build measure and learn. Changes are delivered incrementally and often. You will be flexible in your approach, being willing to change and adapt designs quickly based on new information. Your cognitive biases are left at the door, and you’re not afraid to fail.

You will have a deep intuitive sense of what good likes like for consumer internet products. You’ll never be satisfied with a pixel out of position but you will first prioritise learning and only insist on perfection once a change has proven it’s value.

Depending on your background, will also depend on what other areas of the web team you get involved with. You can be guaranteed however, that no two days will be the same.

The Contact Centre is made up of teams that manage inbound calls, emails and live chat. Some of our consultants work from home and we sell a range of products, including: airport parking, hotels, lounge passes, insurance, rail travel and a number of essential extras.

We are currently looking for team members to join us on a fixed term contract until the end of September/October 2017 to help us during our busy summer period.

The Role

You will be the voice of Holiday Extras; From making a sale to helping a customer book and amend their holiday add ons, you will be dealing with a variety of inbound calls everyday.

We don’t believe in ‘pushy’ sales or offering products to our customers that aren’t suitable. You will take a genuine interest in where the customer is going on their trip to get them in the holiday mindset & create a memorable customer experience. Through building meaningful connections with our customers, you can establish the customer’s needs, tailoring the service you provide and identify additional sales opportunities.

You will be working in one of our 3 teams with around 20 other people and will report into one of our experienced Team Managers.

You will have complete ownership of your own performance and will receive regular development from your manager to continuously improve your performance so you can earn those extra bonuses!

Hours

We’re looking for super flexible full and part time people who are able to work across our opening hours. In order to truly delight our customers you may be asked to “flex up” your hours and assist with higher call volumes.

Full-Time – “Core Flex”: 30 Hours – “Full Flex”: 37.5 Hours – you will need to be fully flexible across our opening hours of Monday – Friday 8.00am until 11pm and Saturday – Sunday 8.30am until 9pm.

Part-Time – “Core Flex”: 16 Hours – “Full Flex”: 20 Hours – you will need to be available 3 evenings per week Monday to Friday until 11pm and 1 day at the weekend between 8am to 8pm.

You will be given notice if you are required to work your “full flex” but can be guaranteed your “Core Flex” hours each week!

Our partners are a vital part of our business, here at Holiday Extras we work with over 12,000 partners from across the travel industry. Ensuring we continue to grow this part of the business is vital to our continued success. We make 350,000 travel insurance sales a year at Holiday Extras with our travel trade partners making up a large percentage of these. We believe there is still more opportunity in and outside of the travel trade to secure new exciting partnerships.

We want our Business Development Manager to use their long list of travel trade contacts to start conversations about insurance requirements and open the door to new opportunities. You will be part of our growing Insurance team and play a part in their mission to build awesome relationships with our partners, looking for every opportunity to grow bookings and profit.

You’ll have a proven track record of delivering new business within the Leisure and Business Travel industry using your commercial know how and keen eye for data to spot new opportunities for growth. You don’t necessarily need to have experience working within the travel insurance sector, but you should have several years experience as a Business Development Manager within the travel trade and experience driving sales.

You will be responsible for the delivery of the overall new business budget, with your performance being measured against the gross profit you generate.This is a market that we have only scratched the surface of, so the potential for a strong Business Development professional is huge!
